Logging into Time and Attendance and Staffing and Scheduling (2024)

Depending on how your organization has set up the authorization process, you will log in to Time and Attendance and Staffing and Scheduling in one of two ways: single sign-on (SSO) or software authorization.

Single sign-on (SSO)

With SSO, you log in to your hospital's network and other software with one username and password. You do not need separate credentials for each. If your organization has enabled SSO for Time and Attendance and Staffing and Scheduling, you can use your existing credentials.

Depending on how your SSO is configured, one of two things happen when you start Time and Attendance and Staffing and Scheduling.

  • Your access is granted immediately and you are taken to the Home page.

  • Your SSO login screen appears. You will enter your SSO credentials before being taken to the Home page.

Software authorization

With software authorization, you use a separate username and password that is specific to the software. If your organization uses this type of authorization, you will use a unique username and password to access Time and Attendance and Staffing and Scheduling.

When you log in for the first time, you enter a default user name and password that your supervisor provides. When you successfully log in with these default values, the system will prompt you to change your password.

If enabled, you may also see a Quick Badge option that you can select.

To set up the Quick Badge feature

If your organization has a Quick Badge subsystem running, an administrator needs to follow these steps for the Quick Badge option to appear on the login screen.

  1. Navigate to Configuration > System > Application.

  2. Enter TA in the Code field and click Search.

  3. Open the TA Time and Attendance Solution folder.

  4. Click the Indicators tab and open the System card.

  5. Change the indicator System Standard 1 "Determines whether or not quick badge functionality is allowed from the login screen" to Y.

  6. Click Save.

    Note

    The TA Employee (Quick Badge) role must also be applied to any employees or organization units that use Quick Badge.

To use the Quick Badge feature

  1. Enter your User Name and Password.

  2. Select the Quick Badge option.

  3. Click Sign In.

You must log on successfully for the Quick Badge record to be created. If the warning message "The user does not exist in the system or the password is invalid" appears, repeat these steps.

Even if your authentication is successful, your Quick Badge request may still be denied, such as for incorrect role or expired license requirements. A message will appear explaining the reason for the Quick Badge denial.

Tip

When your log on is successful, your Quick Badge request uses default values. If you need to enter values, such as special codes or organization unit changes, log on without selecting the Quick Badge option and enter your request from the Quick Badge screen.

To change your password

When you successfully log on for the first time, the system will prompt you to change your password. A message on the Change Password screen provides information about the password format to follow.

Note

You can change your password at any time from Actions > Employee > Change Password.

The following fields are available when logging into the system:

User Name

The User Name is the identification code for a specific user to access the system. The roles assigned to the user determine the screens and processes the user is able to access.

  • If user names are automatically created by the system, the format of the user name is determined by indicator settings in Configuration > System > Authentication.

  • If user names are manually set up, the Login Name can be viewed on the Login tab in Employee > General.

Password

The security password required for the user to successfully log into the application.

  • If user names are automatically created by the system, the format of the user name is determined by indicator settings in Configuration > System > Authentication.

  • If user names are manually set up, the password is entered (and re-entered) on the Login tab in Employee > General.

Domain

This field option is only displayed when Directory Service has been set up, which allows users to log on to the system using their network user name and password.

When Directory Service is enabled, users are able to access Time and Attendance and Staffing and Scheduling based on their network login account. Passwords are set up on the network and not within Time and Attendance and Staffing and Scheduling. When logging into the system, the User Name and Password are authenticated with the Directory Service.
